From a tag observation to an approved inventory record.

Establish what is expected

Define the stockroom, lane, or item group being counted and obtain an expected list from the inventory system. Decide whether identifiers represent individual items, cases, or reusable containers. Record movements that occur during the count; otherwise a genuine transfer can look like an unexplained shortage. A clear boundary is the basis for a count that another person can repeat.

Capture and reconcile separately

Collect observations within the defined task, then resolve identifiers to item records and remove repeated observations from the count. Keep expected-and-observed items, expected-but-unobserved items, and unexpected observations visible as separate results. An unknown identifier should enter a review path rather than create a new stock record automatically.

Worked example: a receiving exception

Hypothetical example: a receiving task expects cartons A, B, and C. The reading session observes A and B repeatedly, plus D from a neighboring staging area. The result is not four received cartons. Deduplication leaves A, B, and D; reconciliation flags C as unobserved and D as unexpected. An operator investigates the boundary and checks C before an authorized person confirms the receipt.

Keep approval with the business process

A read is evidence used by a transaction, not permission to change stock. Define who can resolve discrepancies, how adjustments are recorded, and what happens if the destination system is unavailable. Retain enough context to explain the result: task, time, reader or workstation, expected list, and the reason for an approved exception.

Test complete counts before expanding

Choose representative stock, packaging, operators, and nearby inventory. Compare the complete task—including preparation, reconciliation, and recovery—with the current method. Establish acceptance criteria before tuning the hardware. Record missed and unintended observations, unresolved discrepancies, and time spent investigating them. Expand only when the team can repeat the workflow and explain its results.
